1. Introduction

World Class Title ("WCT," "we," "us," or "our") operates the Smart Zero platform at smart.worldclasstitle.com. This Privacy Policy describes how we collect, use, disclose, and protect personal information when you use our title and closing services, including our web-based onboarding, title search, payoff processing, and communication tools.

By using our services, you consent to the practices described in this policy.

2. Information We Collect

2.1 Information You Provide

  • Identity information: Full legal name, marital status, spouse information
  • Contact information: Email address, phone number, mailing address, social media handles
  • Financial information: Mortgage account details, loan numbers, lender information, payoff amounts
  • Transaction information: Property address, purchase price, closing date, financing details, earnest money
  • Authorization data: Digital signatures, typed legal name authorizations, timestamps of consent
  • Communications: Messages sent through our platform, notes, and questions

2.2 Information Collected Automatically

  • Usage data: Pages visited, features used, timestamps of interactions
  • Device information: Browser type, operating system, device identifiers
  • Audit data: Records of who accessed or modified transaction data and when

2.3 Information from Third Parties

  • Property data: Property records, ownership history, tax assessments, and legal descriptions from public records, ATTOM Data, and county recorder databases
  • Contact enrichment: Phone numbers and email addresses from skip-trace services (BatchData) to facilitate transaction communications
  • Identity verification: Government ID and selfie verification through Stripe Identity to confirm seller identity
  • Lender information: Payoff contacts, fax numbers, and processing details from our servicer database

3. How We Use Your Information

We use personal information to:

  • Process real estate closings and title insurance transactions
  • Conduct title searches across public records
  • Generate and transmit payoff demand letters to lenders on your behalf
  • Verify mortgage account information and authorization
  • Communicate with parties involved in your transaction (agents, lenders, buyers, sellers)
  • Send onboarding forms, status updates, and transaction notifications via email
  • Publish listing marketing content (property photos, descriptions, and agent attribution) to social media platforms on behalf of real estate agents
  • Detect and monitor mortgage releases post-closing
  • Generate underwriting guidance and compliance alerts
  • Maintain audit trails for regulatory compliance
  • Improve our services and user experience

4. Data Security

We take the security of your data seriously and implement multiple layers of protection:

  • Encryption at rest: Sensitive data including Social Security numbers, bank account numbers, and routing numbers are encrypted using AWS Key Management Service (KMS) with AES-256 encryption
  • Encryption in transit: All data transmitted between your browser and our servers is protected with TLS 1.2+ encryption
  • Access controls: Role-based access ensures employees only see data relevant to their responsibilities. Row-level security is enforced at the database level
  • Audit logging: Every access and modification to transaction data is logged with timestamps, user identification, and change details
  • Masked display: Sensitive numbers (SSN, account numbers) are masked in the user interface, showing only the last 4 digits
  • Secure third-party connections: Identity verification through Stripe Identity uses bank-level encryption. Document uploads are processed securely and stored with encryption at rest

5. Information Sharing

We may share your personal information with:

  • Transaction parties: Real estate agents, lenders, and other parties involved in your closing, as necessary to complete the transaction
  • Lenders and servicers: To request payoff statements and process loan payoffs on your behalf, with your signed authorization
  • Title underwriters: Stewart Title, Westcor Title, and other underwriters for title insurance issuance
  • Government agencies: County recorders, auditors, and courts as required for title searches and document recording
  • Service providers: Technology partners who help us operate our platform (Supabase for data storage, Resend for email delivery, Amazon Web Services for cloud infrastructure and encryption, Anthropic PBC for AI processing via Amazon Bedrock, Stripe for identity verification, Vercel for hosting, Meta Platforms for social media publishing) — see Section 7 for how AI processing works
  • Social media platforms: Property listing photos, descriptions, and agent contact information published to Meta platforms (Instagram, Facebook) as part of marketing services — see Section 6 below
  • Legal compliance: When required by law, regulation, subpoena, or court order

We do not sell your personal information to third parties for marketing purposes.

6. Social Media Publishing

As part of our marketing services for real estate agents, we publish property listing content to social media platforms operated by Meta Platforms, Inc., including Instagram and Facebook.

6.1 What We Publish

When a real estate agent orders a marketing package that includes social media services, we may publish the following to our official World Class Title social media accounts:

  • Property photos: Listing photos provided by the agent or photographer as part of the marketing order
  • Property details: Address, city, state, zip code, and property descriptions
  • Agent attribution: Agent name, brokerage name, phone number, email address, and social media handles as provided by the agent

6.2 How Publishing Works

  • Content is published to World Class Title's own Instagram and Facebook Page accounts
  • Publishing occurs on the date specified by the agent ("social go-live date") when placing the marketing order
  • We use Meta's Graph API to publish content; once published, the content is subject to Meta's Privacy Policy and Terms of Service
  • Published posts are publicly visible on the internet and may be indexed by search engines

6.3 AI-Assisted Content Selection

We use artificial intelligence to analyze listing photos and select the most effective images for social media presentation. This analysis is performed server-side and is used solely to determine photo selection and sequencing. No biometric data is collected or processed. See Section 7 for details on our AI processing.

6.4 Agent Consent

By submitting a marketing order with social media services and providing a social go-live date, the ordering agent authorizes World Class Title to publish the provided listing content to our social media accounts. Agents may contact us to request removal of published content.

6.5 Meta Platform Data

Our integration with Meta Platforms is limited to publishing content. We do not access or store personal data from Meta users who interact with our posts (such as likes, comments, or follower information) beyond what is necessary to confirm successful publication. We do not use Meta data for advertising, profiling, or any purpose unrelated to publishing listing content.

7. Artificial Intelligence Processing

We use artificial intelligence to automate parts of the title and closing process. This section describes what is processed, by whom, and what limits apply.

7.1 AI Providers

We use Claude models developed by Anthropic PBC, accessed through Amazon Bedrock, a service of Amazon Web Services. Processing occurs on AWS infrastructure located in the United States. Anthropic and AWS act as service providers to World Class Title and are contractually restricted to processing your information for the purpose of delivering the service.

We use two categories of model, and they are handled differently. Most of our AI processing — including all document data extraction — uses standard models whose inputs and outputs remain within AWS and are not provided to Anthropic. A smaller set of tasks uses Anthropic's most capable model, which carries additional data-handling requirements described in Section 7.4.

7.2 What We Use AI For

  • Document data extraction: Reading purchase contracts, mortgage and payoff statements, prior title policies, and related closing documents to populate transaction records
  • Title search automation: Searching and analyzing public records held by county recorders, auditors, treasurers, and courts
  • Drafting communications: Preparing status updates and correspondence for review by our staff before sending
  • Marketing content: Selecting listing photos and drafting property descriptions

7.3 What Is Transmitted

Documents you or other transaction parties provide are transmitted to the standard models in their original form, because extracting data from a document requires reading it. Where those documents contain financial information such as loan or account numbers, that information is transmitted as part of the document. As described in Section 7.4, these inputs stay within Amazon Web Services and are not provided to Anthropic.

For free-text inputs that are not documents — such as email content and messages — we apply automated redaction before transmission, replacing Social Security numbers, account numbers, routing numbers, and payment card numbers with placeholders.

7.4 Provider Use and Retention

Information sent to our AI providers is not used to train AI models. This is true of every model we use.

Standard models. For the models that handle document data extraction, drafting, and marketing content, inputs and outputs stay within Amazon Web Services. Amazon may retain them for a limited period for security and abuse-prevention purposes. Anthropic does not receive them.

Most-capable model. Anthropic's most capable model requires additional oversight as a condition of access. For requests to that model, the prompt and the response are provided to Anthropic, retained by Anthropic for up to 30 days for trust-and-safety purposes, and may be reviewed by Anthropic personnel during that period, after which they are deleted. This data leaves Amazon Web Services' security boundary.

We use that model for one purpose: automated title searching against public records. What it receives is public-record material — county recorder, auditor, treasurer, and court filings, including the text of recorded instruments such as deeds and mortgages, which are available to anyone from the county. Documents you or other transaction parties upload to us — purchase contracts, payoff statements, mortgage statements, and identity documents — are not sent to that model. Those are handled by the standard models described above.

Both retention periods are separate from, and shorter than, the retention periods described in Section 8, which govern the records we hold ourselves.

7.5 Human Review

AI output is not the final word on your transaction. Title commitments, closing figures, and outbound client communications are reviewed and approved by a licensed member of our team before they are issued or sent. We do not use AI to make automated decisions that produce legal or similarly significant effects without human review.

8. Data Retention

We retain transaction data for the duration required by Ohio title insurance regulations and applicable federal requirements. Title records are generally retained for a minimum of 10 years after closing. Audit logs are retained for 7 years. You may request deletion of non-regulated data by contacting us.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate personal information
  • Request deletion of your personal information (subject to legal retention requirements)
  • Opt out of non-essential communications
  • Receive a copy of your data in a portable format

10. Cookies and Tracking

We use essential cookies to maintain your session and preferences (such as dismissed bulletin notifications). We do not use third-party advertising cookies or behavioral tracking.

11. Children's Privacy

Our services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised "Last updated" date.
